As a Sales Support/Data Entry Specialist at Plum, you will play a critical role in supporting our sales team and ensuring accurate and efficient data management and order processing. You will be responsible for providing essential administrative support to our sales team, such as processing sales orders, and assisting in the maintenance and upkeep of our internal databases. This role requires meticulous attention to detail, excellent organizational skills, and a proactive approach to problem-solving.**Duties**:– Assist the sales team in managing accounts and maintaining client relationships
– Provide technical sales support to customers and internal teams
– Utilize Salesforce or similar CRM tools to track sales activities and customer interactions
– Reporting: Timely and accurate preparation and submission of detailed reports, verifying & ensuring accurate information.
– Order Processing: Prepping & processing orders, including interacting with both internal and external teams & software to ensure accurate & timely execution and delivery of client orders. This includes handling order processing & set up for third party campaign components such as purchased telephone numbers, custom demographic data lists, and landing pages.
– Data Entry & Upkeep: Preparing & maintaining accurate client data & spreadsheets, including submitting lead reservations into reservation system, updating clients mail lists and maintaining up-to-date data filing for future orders.
– Assisting with final reviews of print mail pieces before orders are finalized and printed for shipment – attention to detail is extremely important.
– Communicating customer feedback and requirements to internal teams for continuous improvement.
– Support investigations and projects by researching and consolidating information from various data sources/systems. Developing spreadsheets, tracking databases, reports, and presentations, ensuring information is accurate.
– Performing routine audits of databases and files; Maintain database records by ensuring information is up to date and accurate.
– Proactively seeking opportunities to enhance sales operational procedures and improve customer service abilities.
– Performing other administrative duties as required, demonstrating flexibility and a willingness to take on new tasks.**Experience & Qualifications**:– English Proficiency: Fluent English speaker, both written & verbal
– Minimum 3 years of relevant administrative experience within a professional setting
– Proficiency in Excel, with experience managing databases and producing reports (You’re an Excel wizard).
– Must be proficient in the Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook)
– Solid database and data analyst skills required.
– Excellent grammar and proofreading skills required.
– Excellent written and verbal communication skills
– High Attention to Detail: You have a keen eye for the details that others often miss
– Solid time management and organizational skills
– Strong interpersonal skills with the ability to build rapport, receive constructive feedback, and communicate effectively with others.
– Proficiency in managing multiple tasks simultaneously in a fast-paced environment, effectively prioritizing and switching between tasks seamlessly while maintaining productivity and quality of work.
– Ability to continually assess and handle changing priorities, adaptive with a proven record of meeting deadlines effectively.
– Highly motivated and driven to support the team in achieving their sales targets.
– Must be Tech savvy and quick at picking up new systems.
– Strong customer service skills, with a commitment to delivering exceptional service (Must be outgoing, not shy to reach out and speak with clients if and when needed).
– Familiarity with Salesforce and/or other CRM software
– Familiarity with payment processing & invoicing software such as Xero and Stripe
