We are searching for the best talent for a PMO Project Analyst to be located in Alajuela, Costa Rica.
Purpose: This role is responsible for supporting the project leads to help them stay organized and complete tasks that allow them to focus on more advanced responsibilities by assisting in the establishment and implementation of programs and initiatives to ensure that all interactions between the organization teams is positive and productive.
This includes the coordination of large or complex projects, meetings, conference calls and travels, prioritizing deadlines and conducting appropriate follow ups.
In addition, this role will be responsible for ensuring procurement of goods and services at highest quality, fastest timeframe, and best terms for the project by implementing processes aligned to achieve efficiency and effectiveness.
Main responsibilities are: * Functions as administrative support to the BWI PM Execution Lead including agenda control, reservations, expense reports, among others.

  • Assist on the coordination of meetings, workshops and activities defined in the executive calendar of the project.
  • Support for the visits in Costa Rica, including but not limited to coordination and follow up of travel logistics (airplane travels, on-country transportation), hotel accommodations, among others * Process staff onboarding, including request for J&J email accounts, WWID, work equipment * Assists and/or lead special projects/duties/presentations for management as assigned * Supports Supply Chain Organization from end to end with procurement processes.
  • Supports the development and implementation of procurement strategies and processes for indirect materials, process equipment and services * Generate RFQ (Request For Quote)/RFPs (Request For Proposal) to suppliers on behalf of Supply Chain to obtain best possible terms * Update and streamline quote to part receipt process (compress timing) * Ensure compliance with company policies, procedures, and regulations * Track delivery schedules, and resolve any procurement-related issues * Resolve AP (Accounts Payable) issues for suppliers to ensure timely payment * Bachelors Degree or equivalent University Degree is required.
  • A minimum of 2 years of relevant work experience is required.
  • Experience with administrative roles, organizing events, connecting with key people, and arranging meetings for the staff is required.
  • Project Management Professional (PMP) preferred.
  • Fully bilingual in Spanish and English is required.
  • Experience of working in cross functional teams.
  • Proficient in use of Microsoft Word, Excel, Power Point, SharePoint and other Microsoft Office Suite components is required.
  • Familiar with professional telephone, email and correspondence etiquette and formats.
  • Basic teleconferencing technology and the ability to arrange both live and virtual meetings.
  • Strong customer services approach.
  • Articulate verbal and written skills.
  • Strong social skills and ability to multi-task in a lively organizational environment.
